The professional chosen for this role will operate with significant independence to resolve logistical challenges while exercising sound discretion on confidential Board matters.

The schedule requires working from the company office in New York City at least four days each week, aligning hours with the CEO's presence in either European or US time zones, alongside monitoring urgent matters during early mornings, evenings, and weekends.
In addition to primary calendar and travel management, the position involves organizing executive committee meetings, managing preparation materials for strategic planning sessions, overseeing customer engagement records, and building reusable automated workflows using AI tools. The ideal candidate will seamlessly handle procurement, expense processing, legal document coordination, and occasional personal requests with absolute discretion and professionalism.
Responsibilities
- Manage the CEO's calendar across multiple time zones, resolve scheduling conflicts, and align timelines with business objectives.
- Oversee the Executive Committee meeting cadence, prepare agendas and materials, record decisions, and track action items.
- Coordinate executive strategic planning sessions, including timelines, working materials, and pre-work documentation.
- Handle domestic and international travel arrangements including flights, accommodations, ground transit, visas, and detailed itineraries.
- Process expenses, vendor workflows, and procurement requests through Navan and Zip.
- Maintain centralized records of customer engagements, briefing documents, key discussions, and follow-up steps for the CEO and senior leaders.
- Build and maintain reusable AI-powered workflows for executive preparation and document tracking with confidentiality safeguards.
- Manage scheduling, travel, and expense reports for both the Chief People Officer and the Chief Technology Officer.
- Coordinate logistics for leadership events and offsites alongside internal teams.
- Greet visitors, handle legal document signatures, and address occasional personal requests with professionalism.
Requirements
- Possess at least 8 years of professional experience providing support to senior executives, including a CEO or C-suite leader.
- Demonstrate extensive expertise managing complex calendars and international travel across various time zones.
- Show hands-on capability in constructing repeatable AI workflows beyond simple single prompts.
- Exhibit excellent judgment and skill in managing highly confidential information such as Board-level documents.
- Maintain advanced proficiency using Google Workspace, Microsoft Office, Slack, Zoom, and electronic signature systems like DocuSign.
- Communicate effectively in written and verbal formats to synthesize stakeholder input into concise executive briefings.
Qualifications
- Hold a bachelor degree or equivalent professional background.
