The clinical operations division is seeking a Medical Office Administrator to join the late shift team. This position reports to the clinical operations manager and medical director, acting as a key contributor to daily clinical support. The person in this role will collaborate across departments with medical directors, practitioners, and customer support representatives to maintain high standards of patient care and confidentiality.

This job suits an organized administrative professional with experience in clinical settings who is comfortable working late hours and handling electronic health records. The role requires managing electronic files, tracking lab results, supporting video and audio consultations, and assisting practitioners with documentation.

Responsibilities

  • Manage electronic files and documents including lab results and medical referrals
  • Track lab requisitions and audit past records to follow up on missing test results with labs and patients
  • Facilitate communication between pharmacies and healthcare practitioners
  • Schedule and coordinate audio and video consultations between patients and practitioners
  • Handle faxes and voicemails from external stakeholders
  • Perform data entry and administrative duties to support lab management
  • Help medical professionals with document management and basic editing of insurance and medical paperwork
  • Contribute to quality improvement and quality assurance initiatives
  • Protect and safeguard personal health information as a personal health information delegate

Requirements

  • Reside in Canada
  • Work a fixed schedule of 5 PM to 1 AM EST or 2 PM to 10 PM PST, spanning five days per week including weekends
  • Complete forty hours of work per week
  • Bring at least two years of professional experience as a medical office employee
  • Demonstrate technical proficiency with the ability to quickly learn software systems, including electronic medical records
  • Possess strong organizational skills and attention to detail
  • Display strong written and verbal communication skills
  • Communicate fluently in English
  • Maintain a suitable workspace that protects personal health information

Qualifications

  • Graduate of a medical office administration program or holder of equivalent education in a related discipline
  • Prior experience working in virtual care environments
  • Customer service background
  • Bilingualism in French
