Protect Democracy operates as a remote-first organization dedicated to stopping authoritarian shifts in government through advocacy, litigation, and strategic initiatives. The group seeks a Finance Operations Specialist to join its compact finance department for a full-time, remote position based in the United States.

This role suits a finance professional who wants end-to-end ownership of financial workflows and enjoys building efficient internal systems. The person in this position will handle the full lifecycle of financial transactions, connecting individual payments and purchase orders to overarching budgets and reporting structures. Daily responsibilities involve close collaboration with internal departments including Legal, Compliance, Accounting, and People Operations.

The role requires regular team communication, proactive process improvement, and careful attention to data integrity. Staff members must travel at least twice per year for team retreats, in addition to periodic role-specific travel. Candidates should possess a strong dedication to the mission of defending democratic institutions and supporting cross-ideological strategies.

Responsibilities

  • Manage contract-to-payment workflows including vendor setup, purchase orders, invoice reviews, payments, renewals, and closeouts
  • Monitor project and organizational budgets to evaluate spending requests, track contract use, and maintain commitment records
  • Process card transactions, invoices, and expense reimbursements while ensuring data accuracy, compliance, and proper coding
  • Lead finance operations projects by coordinating timelines, stakeholders, and task execution
  • Design and optimize financial tools, controls, and workflows such as Ramp procurement features and help desk processes
  • Partner with staff and vendors to resolve operational issues and determine when to escalate matters
  • Assist with forecasting, budgeting, and financial analysis by tracking committed spending and spotting variances
  • Contribute to year-end audits, financial reporting, and broader department initiatives

Requirements

  • Have four to seven years of professional experience in accounting operations, finance operations, accounts payable, procurement, or related fields
  • Demonstrate experience managing independent workstreams and cross-functional projects across multiple financial stakeholders
  • Possess working knowledge of budgets, accounting principles, and financial reporting
  • Show sound problem-solving skills with the ability to spot discrepancies and handle operational issues independently
  • Display strong organizational, communication, and relationship-building abilities
  • Maintain a proactive approach toward improving existing systems and workflows
  • Share a deep commitment to the mission of Protect Democracy
  • Complete a pre-offer background check successfully if reaching the final hiring stage
  • Attend required team retreats at least twice annually alongside periodic travel

Qualifications
