To help leadership scale efficiently, Solace is seeking an Executive Assistant to provide dedicated support to senior leaders and Vice Presidents within the Finance Department.

This position acts as a strategic partner to ensure executives maintain strong operational cadence and focus on high-priority objectives. Responsibilities include managing complex calendars, overseeing travel logistics, preparing expense reports, and facilitating communication between internal and external stakeholders. The role requires a high degree of discretion, meticulous attention to detail, and the ability to navigate a fast-paced setting.

Responsibilities

  • Manage multi-time-zone calendars and prioritize appointments based on strategic impact
  • Protect executive schedules by triaging inbound requests and resolving conflicts
  • Organize leadership meetings, team offsites, and large company events
  • Attend meetings as a proxy to record notes, clarify decisions, and track action items
  • Draft and edit communications on behalf of executives with high professionalism
  • Act as a primary liaison between executives and internal or external stakeholders
  • Summarize and escalate key information and risks while maintaining confidentiality
  • Maintain the operating cadence for staff meetings, business reviews, and planning sessions
  • Design and refine processes, templates, and systems to improve organizational productivity
  • Coordinate comprehensive travel arrangements, itineraries, and expense reporting

Requirements

  • At least five years of experience supporting senior leaders at the VP or C-suite level in a fast-paced setting
  • Prior experience working with a financial firm or fintech startup
  • Advanced calendar management, organization, and prioritization capabilities
  • Strong verbal and written communication abilities for drafting executive messaging
  • Proven judgment, professionalism, and discretion with confidential data
  • Project management skills focused on execution and deadline tracking
  • Ability to operate independently and remain calm in ambiguous situations
  • High emotional intelligence for managing cross-functional relationships
  • Residency in the United States
